The problem

Bills arrive before anyone agreed to them.

Orders go out by email, supplier PDFs are typed in by hand, and the bill is paid before anyone checks it against what was agreed.

Before

Spend nobody approved

Purchases are agreed on the phone or by email, so the first you hear of them is the bill.

With Paylists

Purchase orders are raised and approved in Paylists, and committed spend shows in your forecast at once.

Before

Bills that don't match

The price or quantity on the bill differs from the order, and nobody notices until after it's paid.

With Paylists

Every bill is matched to its purchase order and vendor agreement. Mismatches are held for review.

Before

Typing in supplier PDFs

Every supplier invoice is a PDF someone has to read and key in.

With Paylists

Supplier bills arrive over Peppol as structured data, with nothing to key in.

01 · Vendor agreement

The terms you agreed, held where the bill arrives.

Agreed rates, payment terms, notice periods and renewal dates held against each supplier, and checked when their bill arrives.

Questions

Common questions

How do purchase orders and vendor agreements work together?

The vendor agreement holds the agreed rates and terms. The purchase order commits the spend. When the bill arrives it is checked against both, and anything outside tolerance is held for review.

What if my supplier is not on Peppol?

Record their bill manually and it follows the same matching and payment steps.

Can I link purchases to a project?

Yes. Purchase orders can be linked to a project so committed and actual spend show against its budget.
